Assistant Office Manager
JOB DESCRIPTION
- Front Office & Facilities Management
- Serve as the primary point of contact by welcoming guests, managing incoming calls, and coordinating all front-office administrative activities.
- Allocate parking bays and issue access cards to staff.
- Maintain the overall condition of the office, coordinating repairs, maintenance, and replacements as required.
- Liaise with the building manager and communicate all facility-related updates to staff.
- Manage office printers (e.g. Minolta) and liaise with service providers for maintenance and technical support.
- Oversee waste disposal services (Shreddmaster) and manage the PostNet account.
- Office Operations & Administration
- Order and manage stationery, office furniture, groceries, and branded items.
- Oversee and maintain the storeroom, including equipment, supplies, and artwork.
- Provide daily operational and administrative support to the Office Manager.
- Draft, circulate, and manage internal communications.
- Supervise and support cleaning staff.
- Handle petty cash, including monthly reconciliations and maintaining accurate spreadsheets.
- Human Resources & Staff Support
- Assist with the onboarding and training of new employees.
- Facilitate the offboarding process, including recovery of company assets (e.g. laptops, access cards) and coordinating email redirections.
- Address staff queries and concerns in collaboration with the Office Manager.
- Liaise with the IT department to resolve staff technical issues and support needs.
- Records, Mail & Systems Management
- Manage and maintain the records management system (Datar Files) for secretarial and administrative use.
- Manage the firm’s central mailboxes.
- Handle client email correspondence in accordance with the firm’s approved client list.
- Oversee and manage the firm’s property usage and related matters.
- Procurement, RFQs & Tenders
- Respond to Requests for Quotations (RFQs).
- Assist with compiling, coordinating, and submitting tender documents and supporting materials.
- Maintain and update RFQ and Tender tracking registers.
- Events, Travel & Logistics
- Organise internal staff meetings, team-building activities, office lunches, and other internal events.
- Coordinate travel and logistics for staff, including Uber bookings.
- Act as the primary point of contact with external suppliers and service providers in Cape Town.
DESIRED EXPERIENCE & QUALIFICATION
Minimum Requirements
Qualifications:
- Grade 12 / Matric
- Administration Certification – Advantageous
Other Requirements:
- Good knowledge of MS Office and office equipment such as photocopier, scanner etc.
- Good command of spoken and written English;
- Understanding of confidentiality and data protection;
- Good organizational skills.
- Integrity and professionalism;
- Must have an excellent presentation, open personality and communications skills;
- Flexibility to work irregular hours;
- Self-motivation and the ability to identify and complete needed tasks without direct supervision.
